As I mentioned at the JOBS Retreat, we are simplifying our data collection procedures in order to prepare for the transition to a web based application. In the future, we will be relying more on administrative data bases to analyze the benefits of the program for legislative advocacy.
Given all of your good input, I've attached a new, simplified intake form that will replace the JOBS data base. If you wish, you can begin to use this pen and paper approach to collecting data until the web based application is established next year. Utilizing these forms, we would also need you to provide data for all new JOBS participants who have entered the program since 7/01/05. You can also continue to use the existing data collection procedures until the web based application is established.
Laura and I will be meeting with programs to discuss new data collection procedures and how previous data can eventually be integrated in to the new data base. If you choose to use this format until the web based application is established, please enter the personal information at intake, check off the information for a particular quarter and return a copy to us via snail mail at the end of each quarter. As each quarter progresses, just update the form and send a copy of the previous quarters intakes along with any new intakes. Until the web based application is up and running, we will be responsible for entering the data you mail to us into the computer database at our office.
Again, these new procedures should greatly simplify your data collection for the JOBS Program. As you can see from the form, we are asking for much less information; however, because we will be relying more on administrative data-bases it will be more important than ever that we have the name and social security number of all JOBS participants, not just those opened to VR. The Business Agreement, now a part of every contract, adheres to HIPPA guidelines for sharing information.
Laura and I will calling to set up meetings at your agencies to provide more details about the new data base. We have also scheduled a teleconference for October 11 at 1:30 pm to answer any questions you may have. The telephone number for the teleconferences is: 877-676-6548; participants will need to enter the code of 556189 at the prompt followed by the # sign.
