From the Research protections office

UVMClick – IBC | GO LIVE DATE NOW APRIL 8, 2019
Institutional Biosafety Committee
UVMCLICK – IBC GO LIVE
UVMClick – IBC will be ready for a “soft-opening” on April 3rd. We are asking folks to avoid submitting to the IBC until April 8th. If you wish to submit through the new system prior to the 8th, please contact our office and we will work with you. Remember, there is no submission deadline for April and May as we have scheduled extra tentative IBC meetings to the calendar to accommodate review of incoming Master Protocol Registrations (MPRs). MPRs will be reviewed on a first-come-first-served basis. These dates are indicated on the calendar below. We encourage everyone to submit his or her MPRs as soon as possible, as we will resume our monthly meeting schedule in the summer.
Approved protocols will remain approved in the InfoEd system, but we discourage any future changes to individual protocols with the exception of addition of key personnel.
IBC WEBSITE CHANGES
Forms Page
The forms page <https://www.uvm.edu/rpo/biosafety-oversight> has been modified in the following ways:
Protocol Form
Any new projects must be submitted through UVMClick – IBC. If you currently have open protocols, you must create an MPR that includes your new project. We are unable to accept new projects for review under the old process. We have removed the protocol form.
SOPs and BARDs
These templates will remain on our website as, in some instances; they are a required upload to new MPRs.
Continuing Review Form
Continuing reviews will not be required until your protocols have been transitioned and approved under a new MPR. This form has been removed.
Amendments
If you need to amend a protocol after April 1st, you must create and submit your new MPR with the new information included. If there is an urgency, (e.g. just-in-time) contact our office to ensure that we assign to the next available meeting.
Request for Change PI Key Personnel Form
While researchers are transitioning their protocols to Click, there will be a period of time where you may need to submit a change to key personnel but you are not ready to submit your new MPR. In those instances, you will need to follow the current process by submitting a change in key personnel, which will be processed through the InfoEd system. The request form will remain on the website.
Incidents
While researchers are transitioning their protocols to Click, there will be a period of time where you may need to submit an incident but you are not ready to submit your new MPR. In those instances, you will need to follow the current process by submitting an incident report form, which will be processed through the InfoEd system. The incident form will remain on the website.
RESEARCHER MANUAL
The Researcher Manual and IBC Policies and Procedures Manual have been combined into one resource and is coming soon! We have added information about the MPR model as well as our move to Click. We will send a notice when it has been posted to our site. Please take a moment and review the new IBC Policy and Procedures document once it has been posted.
REQUIRED TRAINING
As previously mentioned, protocols going through the MPR process will require a full Committee review. PIs and key personnel who have not completed the required CITI training will not be added to the MPR. If an MPR includes both BSL-1 and BSL-2, make sure that all personnel have completed BSL-2 training.
ANCILLARY REVIEWS
Click has ancillary review functionality. If any core facilities are identified in the MPR, an ancillary review will be forwarded to the facility as an FYI. This will provide the facility managers with access to the protocol materials.
EDUCATIONAL SESSIONS
Register for an upcoming UVMClick – IBC educational session (opens in a new window).<https://www.uvm.edu/node/255748>
Attended a training but would like some additional support?
