Dear PIs, Business, and Grant Administrators,

Understanding that UVM research community is looking to accelerate advance account set up, SPA has redesigned the Advance Account Request Form.



Our main intent for re-designing the form was to streamline the process of collecting all relevant information from departments, and reducing processing time within SPA.  We wanted to be able to collect all information that SPA needs in one place, eliminating the need for follow up email and phone exchanges, and simplifying the workflow for everyone involved in this activity.  Please note:



(1)    Once the form is completed by the requesting department, it will need to be sent to [log in to unmask]<mailto:[log in to unmask]> and will then be assigned to a SPA award acceptance teammate internally for review and processing from beginning to end.  Departments will not need to reach out to their assigned Research Administrators to get the process started.



(2)    If the form arrives completely filled out and with all required signatures, it will eliminate the need to follow up via email or phone, and thus reduce time required to process.



(3)    The form requires cost share and/or salary chartstrings to be filled out, where these are applicable.



(4)     Direct costs to be included in the AA need to be submitted to SPA in SPA budget worksheet.



(5)    In cases where applicable protocols have not yet been approved:



a.       PIs are responsible for ensuring that no work involving subjects that the protocols cover will take place until the protocols are approved.

b.       As long as the PI signs the form, indicating they accept this responsibility, SPA will continue to process the AA, and will not hold finalizing the AAs until the protocols are in place, as we did in the past.



(6)    SPA will no longer look for results of FCOI as part of AA processing. This is because we deem it more relevant during the award acceptance stage.
