I am finally caught up on absent voter ballots, although I need to make
a pile of packets again.
Here's a response to your question about the absent voter list.
I tried several different ways to send the list and have come up with a
new system this election.
In order to print the checklist to post, I have used Excel and have
removed all the columns except the voter status, name and address. This
way, I can print two columns horizontally in Word or Pagemaker.
Using this Excel database, I have done the following:
1. Added two columns in front of names for ballot sent date and ballot
2. After I've added the names into the statewide checklist, I add them
at the bottom of the Excel database. Sometimes, I am also filling in one
or both of the columns for absent voter request if the voter registered
and then voted in the office.
3. After I've removed any voters from our checklist in the state
program, I delete them from the database.
4. I then send the Excel file to whoever wants it as it has the current
voter list and also the absent voter information.
5. I ONLY send my absent voter Excel list on Thursday afternoon and do
all the updates before sending, so it is current. (Of course, someone
always comes in just after I've sent it, but these go on the next
batch). I don't bother to sort anything since it is in Excel and this
can be done by the recipient.
I plan to use this for the checklists at the polls as well since it is
current and in the format that I want it to be. I figure I will be able
to sort it by Absent Voters so I can post it and then re-sort it to
print by Entrance and Exit checklists.
I hope this isn't too confusing as I've explained it, but it really has
worked great for me.
