Hey everyone- the idea has come up a few times to hold a formal ball in the ballroom. We talked about it at the last meeting, and we've come up with some information. Here's the basic outlines for the ball that we're starting to plan. In the Ballroom: we'll need to take everything out of the ballroom, and store it somewhere- Prof. Toner had a few recommondations (piano lab, classrooms, hallway to the offices). He also said that we probably won't have to rent out the ballroom, but I'm going to be meeting with Proffessor Neiweem on Tuesday to discuss that and other stuff. Refreshments: We're thinking of being really simple, and making our own refreshment, maybe spending a little of the MENC money to get soda, etc. Tickets: We could presell tickets and get a good estimate of how many people will be there, and also sell tickets at the door. Publicity: To get this really going, we'll need to publicise like MAD. This is probably going to be one of the hardest things. WE'll need to contact student life about a banner, and we'll get onto the bored pages and in the Cynic. I think that if we get a lot of people to do these things, it will be helpful. I also think that we should formally invite professors. Bands: A few people were worried that if we asked the jazz band to participate, it might seem predominantly a jazz band event. In order for this event to work, we're going to need some BIG attractions. I'm going to be talking to Professor Stewart and Professor Julien about having the jazz bands play. We wouldn't be able to pay them, but maybe we could work something out. It would also be great publicity for the jazz department. It would also be great to work out little combos in our group, or if any members are interested in bring there bands, that would be great! I think that this should start getting put together, so if anyone has a group that wants to play, let me know. Decorating: I'm not sure, I've never decorated before, but I do know that it's expensive. We can wait and see how much money we have before we start to plan that. Here's the list of what we need to talk to Proffessor Neiweem about on Tuesday: *Dates (we're planning for Saturday, either March 5th or 12th. We need to make sure that nothing else is going on that weekend, because we are going to need the entire weekend to clean up the ballroom, and get everything ready for the date. A Friday night would be hard, because there are classes in there until late.) *Regulation size of the ballroom, how many people are we allowed in the ballroom. * Where can we put the equipment in the ballroom. We need to put the piano that's in the ballroom somewhere where it won't be hurt, or touched. This is a big problem because it won't be able to fit in some of the rooms. Most of the other stuff though (chairs, desks) can go in the piano lab. We'll just work around this and see where else we can put stuff. * Renting tables. I actually talked to someone who set up Eastfest last year, and they said they were able to get free tables, which would be great. The music department doesn't have many table. * We need some kind of security, most likely police services will be able to moderate everything. SO, basically I'm going to need a comitee that is interested in helping with everything above. I think that it would be great if we could have most of the MENC members help with the setting up and tearing down. THat way it would be done really smoothly. For the commitee, our tasks are as follows: ~Deciding on a date (either the 5th or 12th of March) ~Determining where and how to set up the ballroom ~Publicity, Publicity, Publicity! ~Selling the tickets ~Setting up the actual date- who will perform when ~Any equpiment, amp, information So far for the committee, the following people were interested: Tyson Bridgett Jordan Meghan Chelsie Lisa Sonia Mike P. So if anyone else is interested in setting up these early stages, let me know. I'm thinking that after we talk with Professor Neiweem, and then discuss this with Professor Stewart and Professor Julien, we'll have a solid idea of how to set this thing up and what precautions we need to go by.
