Any reason you couldn't just use scopia desktop ?? We have had good luck
with this on Windows and Mac platforms.

The free version of Fuze might work for this one-off event -
https://www.fuze.com/plans.  Fuze supports a mix of H.323 systems and PCs as
endpoints and has clients for all the desktop and mobile OSes.  Only the
person that initiates the VC needs an account I believe. I don't think
you're going to get that Polycom camera and mic to work through a laptop,
but if you do, I'd be interested to hear how...  The monitor should be as
simple as plugging it into your laptop, esp. if it has HDMI.
