We still have not had SBAC Support get back to us concerning the issue.  I talked with someone at AOE today and they seemed to be saying the problem is the unintended consequence of a ‘fix’ of a larger issue and said they are working on a solution.  That is about as specific as he got…but obviously it is affecting more than one District!

Lisa,

Ask SBAC support to tell you which district has the student.  Then confirm your SSID, with the state (Glenn Bouchard) to determine who has the correct SSID.   Once that's determined, the district with the incorrect ID should call and get the correct ID for their student,  and the district with the correct ID can upload the student again.   

Both students will have to re-take one or more tests.   Once we re-uploaded the student, they did go on to take the other test sections so they only have one to re-take.... I hope!

I called SBAC support again yesterday, to ask about the process for clearing out/retaking the problem test and they still don't have a solution. 

The fact that this can happen - upload a student without getting a duplicate SSID error, is disturbing and very disruptive for the students.

OUCH!  And I have the same concern as Marcia Noyes.  When we wrote up out ticket with the SBAC Help Desk I made sure to mention that there was a system problem on top of everything else.  The system should not allow an ‘add’ when the SSID already exists in TIDE.  It looks like this is something that doesn’t happen all the time, but it IS happening.

Another cause of disappearing records:

 

A secretary clicked the check-all box on each page of students in order to print 154 tickets. (each page is limited to showing 100 students)

 

Shortly later, she went back to the first page to delete a couple of students.  She unchecked the check-all, selected just the two students and deleted them.  However, you didn't realized the 54 students on the second page were still checked, thus they were deleted too.

 

Had to re-import them after a SMS export and some serious scrubbing.

Wow.  If that is the case, this is a big issue.  It sounds exactly like what is happening here.  I will pass this along to our teams and see if we can confirm any other cases.  Has there been a ticket opened with the SBAC Help Desk?

Yes, we've had this happen at CSSU several times (and we know that the student was in the system because they logged in and used the system).  No one (me) has deleted the students and the state/AIR was unable to confirm what happened with them. 

 

 

Yesterday afternoon we had someone enter the wrong SSID number at their district causing a student to be removed from our TIDE system.  I contacted the state and they were able to see that, in fact, another district entered the student...I confirmed we had the correct SSID and re-entered the student in our system.  I also communicated this to the other district so they could request the correct SSID.  This was the first time we were able to confirm that the student was entered elsewhere.  I hope that they build in some sort of approval process in relation to entering students...this would help alleviate these problems.
