We only figured out the software this week, by hunt and peck and not by anything the department of taxes sent us.

I’m not worrying about it. It is the responsibility of the Dept of Taxes to think through these issues prior to launch and to provide proper training. I think we can all agree there was not adequate training. The change that put the information on the form was initiated by the Tax Dept, not us.
I have already processed a number of these, and did not redact that information…..do I have a liability issue here?? And should I now go back and pull all that?
I apologize for that Bobbi – that was certainly not the intention here and is why we have begun masking the SSNs and FEINs that print out from myVTax. We are working on correcting the forms right now so this burden is not placed on the clerks.
This is more work for the clerks. Redaction takes time and we risk missing one.
The contact information being included on the property transfer tax returns was an unintended consequence of process changes we are making at the Department to gain administrative efficiencies. The Department is going to be pursuing a legislative change to make certain fields on the property transfer tax return confidential in order to support redaction prior to recording. We are also going to alter the printed version from myVTax so that it does not include contact information. In the meantime, although there is no statutory reference protecting the confidentiality of these fields, the Department advises clerks to redact the phone numbers and email addresses in order to protect property transfer tax filers from identity theft.
These fields should be considered optional so if the filer wants to remove the information (or leave it blank) prior to recording then that is the preferred method. The fields will be removed from the paper versions of the property transfer tax returns as soon as possible.

The new PTTR’s have phone numbers and email addresses. Is that considered public information, or are we supposed to redact it?
