I think your Library as a Patient's Library may function with somewhat
different needs both in filling requests and in staffing than
Professional Medical Libraries.  To keep a happy working relationship
with 50 volunteers working for/with you sounds like a challenge!  I'm
sure you must be busy.  Isn't there a few of the volunteers that can fill
in and provide coverage for you when you go to meetings?  If not can you
"close" during the meeting time and forward your phone or put it on an
answering machine.
